Guest Services Coordinator

Nature of Work

The role of the Guest Services Coordinator is to foster a sane, cared-for, and caring environment at Dorje Denma Ling for guests, participants, staff and volunteers. As a leader at Dorje Denma Ling, the Guest Services Coordinator commits to: meditation practice, kindness, devotion to service, and responsiveness to the needs of others.

The Guest Services Coordinator reports to the Personnel Manager.

Key Tasks and Responsibilities

  • Relates with the needs of guests from first contact throughout the duration of their arrival, stay, and departure: 
    • Liaises with Finance regarding registration and accounts payable.
    • Oversees housekeeping regarding arrivals, departures, and special needs of guests.
    • Prints reports for kitchen and housing.
    • May lead tours and relate to unexpected guests as needed and available.
  • Works with the Program Manager and Program Liaison; monitors upcoming programs for activity, database entries of housing capacity, registration, etc. 
    • Tracks Web Registration process and responses.
    • Updates Shambhala database based on program registration.
    • Manages subscriber list for DDL newsletter and emails: unsubscribes as requested, adds new subscribers.
    • Holds the long term and day to day oversight, general service and ongoing support of guests visiting Dorje Denma Ling
  • Oversees reception, registration and housekeeping
  • Oversees housing, registration and travel information
  • Supports collaboration, coordination, and communication across departments
  • Creates a welcoming, uplifted, and supportive environment for guests.

Compensation

The Guest Services Coordinator is classified as a full-time, core-staff position working a minimum 30 hours per week. If a resident staff member living on the land, you will be charged at a modest rate for board and lodging, which will be deducted from your semi-monthly pay.

Evaluation Process

After two months of employment, there will be a process of review for the Guest Services Coordinator. This process will be designed and led by the Personnel Manager and will include a review of performance, communication and practices.
